Umbrella Company Payment Guide and Preferred Supplier List (PSL)
As part of your engagement with ProMedical, you must confirm the umbrella company you wish to use for any assignment we arrange. Please review the options below carefully and provide your selection at your earliest convenience.
This document explains your responsibilities, the obligations of umbrella companies, and forms part of ProMedical’s approach to complying with Employment Agency legislation, HMRC rules, and the Criminal Finances Act 2017.
Employment Details
As you will be engaged via an umbrella company:
- You will be employed by the umbrella company, not ProMedical.
- The umbrella company is responsible for processing your pay, deducting Tax and National Insurance, administering holiday pay, and issuing payslips.
- You are responsible for carrying out your own due diligence before selecting an umbrella company.
ProMedical maintains a Preferred Supplier List (PSL) of umbrella companies that have been assessed for compliance, employment standards, and operational reliability. You may choose an umbrella company from this list.
Your Responsibilities When Using an Umbrella Company
To protect yourself from unexpected tax liabilities and follow HMRC guidance, it is your responsibility – and strongly recommended – that you:
Check Your Pay Weekly Using HMRC’s Official Pay-Checking Tool
Use the HMRC tool ‘Work out pay from an umbrella company’ to confirm whether your umbrella is deducting tax and National Insurance correctly:

HMRC may hold you personally liable for underpaid tax if your umbrella fails to process PAYE correctly.
Review Every Payslip
Confirm:
- Tax and National Insurance have been deducted
- Holiday pay is clearly displayed (rolled-up or accrued)
- No unexplained or non-standard deductions appear
- No part of your pay is labelled as “loans”, “advances”, “credits”, “investment returns”, or similar
Ensure You Receive the Legally Required Documentation
You will receive a Key Information Document (KID) from ProMedical, which sets out how your pay will be calculated when you are paid through an umbrella company.
Your umbrella company should also provide:
- An employment contract
- Clear holiday pay and deduction policies
- Itemised payslips and reconciliation statements
Report Any Concerns Immediately
If something appears incorrect, you must contact the umbrella company directly and notify ProMedical.
ProMedical’s Compliance Position
In accordance with the Employment Agencies Act, Conduct Regulations 2003, AWR 2010, and the Criminal Finances Act 2017:

- ProMedical does not recommend any specific umbrella company.
- ProMedical cannot guarantee the compliance, performance, or ongoing suitability of any umbrella company.
- You make your own choice, based on your own due diligence.
- ProMedical conducts independent vetting and periodic audits on its PSL umbrella companies, but this does not replace your personal responsibility for reviewing your pay and ensuring correct deductions.
